MAINTENANCE ASSOCIATION, INC.

The Board of Directors of Buena Vista Lakes Maintenance Association met at 7pm at the clubhouse and was called to order by President Joel Bales.

 

A roll call of board members was requested. Members present included Joel Bales, Janice Burchett, Ray Creswell, Caleb Hodges, Carl Parker, Ann Plunk and Kim Wood.  Members absent included Jackie Hodges, Vicki Moore, and Carla Tartera, secretary)

 

Association members present were: Kiley Brougham, Kathy Fink, Whitney Meade, Diane Plunk, Ned Plunk, Melanie Turner and Larry Wilson.

 

Motion by Ann Plunk to nominate Larry Wilson, Melanie Turner, , Kiley Brougham and Kathy Fink to the HOA Board.  Second by Kim. Wood; vote was unanimous.  This creates a full board of 13.

 

Benevolence Collection was done.

 

MINUTES: The Minutes of the Monthly Meeting Minutes of June 2024 were reviewed, as no quorum for the July 2024 meeting and no business was conducted.  Motion by Kim Wood and seconded by Janice Burchett to accept the June 2024 minutes.  Vote was unanimous.

 

FINANCIAL REPORTS: The Monthly Financial Statement of  June 2024 via Keith Collins management company was reviewed. The motion was made by Kim Wood to accept the financials with no changes. The motion was seconded by Janice Burchett and passed unanimously.

 

     Finance:

·         Finance report as follows: Ann Plunk reported 7/31 Operating $60k, MM $44k, Assessment $20k

 

 

Neighborhood Watch:

·         Neighborhood Watch report as follows: Kim Wood reported three extra patrols for issues such as peace keeping, and animal control.  She encouraged everyone to always call animal control directly rather than calling the sheriff’s department initially.  Animal control writes their own reports and can write citations to take violators to court.

 

 

Recreation (Pool, Ballfield & Playground):

·         Recreation report as follows: Caleb Hodges made the report for Jackie Hodges.  All is going smoothly with the pool.  They still hope to paint the pool in September but a local pool company employee recommended that we not attempt this ourselves.  It would require the pool to be drained completely followed by intense preparation and then paint.  Investigate exactly what the pool is made of - concrete or part concrete/part fiberglass.  The process would take about two weeks at an estimated cost of $13,000 to $15,000.  It requires special paint, two-part epoxy which costs approximately $225/gallon and would require 15 to 20 gallons.  Per Larry Wilson, former Recreation Director, the last paint was only a partial paint.

 

Clubhouse:

·         Clubhouse report as follows:  One clubhouse rental was reported.

 

Orange Book

·         Orange Book report as follows:  No report.

 

Beautification:

·         Beautification report as follows:  Carl Parker reported follow up on reports from previous director; most have been resolved.  Report updated on RV which has been returned to driveway on N Thunderbird to follow up on reported drainage into lake and someone living in the RV. Several lots and homes were mentioned for clean up and letters will be mailed.

 

Building Permits

·         Building Permits report as follows:  Ray Creswell reported on one permit received via email for lot 541, 941 S Thunderbird for a new house.

 

 

Greeter

·         Greeter report as follows:  Janice Burchett reported visiting Randall (Joey) and Emily White and their new baby.

 

Mowing & Grounds

·         Mowing & Grounds report as follows:  Caleb Hodges reported two updated quotes for mowing for July.  The proposal is to increase the mowing in certain areas (clubhouse, front entrance, pool/playground/ball field) to weekly from twice weekly.  The proposal will be reflected in the 2025 budget.

 

Maintenance: Lakes & Dams:

·         Lakes & Dams report as follows: Joel Bales reported that dam/spillway #4 is not locked off to boat launching yet.  The mowing grass levels look better.  Drainage problem on Green Duck levee was filled in.  The walkway bridges over spillways have been scraped, power washed and painted.  There was a mud issue with someone getting a vehicle stuck in a ditch on Bob White Dr but appears to be a one time incident.

 

            Ladies Club:

                        Kathy Fink reported that the July 4 celebration went well but will need earlier planning

                        for next year.  Diane Plunk raised the question of having a second Ladies Club for an

                        evening group.  This has been done in the past and Mrs. Plunk will head up this group.

                        There will be a Community Potluck Dinner on Saturday September 14 at 6pm.

 

UNFINISHED BUSINESS: None reported.

 

NEW BUSINESS:

            Ann Plunk reported on roofing quotes.  Two quotes were sent into the insurance company to

            request assistance for the new roof from hail damage.  Four quotes were received but two were

            not formatted to be useful (incomplete information or not licensed/bonded/insured).  Motion was

            made by Kim Wood to delay the roof until the insurance adjuster report is completed.  Second by

            Caleb Hodges.  Members took the quotes home to further study the data.  Vote was unanimous.

 

            Caleb Hodges reported on the new boat ramp for the common property on Green Duck Drive

            at Chickadee Cove. Motion by Ray Creswell to move forward with the project, taking money

            from the Money Market Lakes and Dams account to cover with an assessment in 2025 to replace

            the funds.  Of the quotes obtained, the $23,975 is to be used.  Motion seconded by Caleb Hodges.

            Unanimous vote.  Another motion by Ray to use any left over money from the current  2024

Special Assessment to replenish Money Market Account.  Second by Kim Wood. Carl vote No. This issue tabled until September meeting.

 

            Ann Plunk reported on quote for clubhouse maintenance of $6000 for concrete drainage, repair

            of both bathroom ceilings and moving the AC vent/fix sheet rock.  Motion by Kim Wood to

            table this until discussion with contractor regarding grass drain.  Second by Ray Creswell.

            Unanimous.

 

            Motion by Kim Wood and second by Caleb to hold text vote on the budget.  Unanimous.

            Motion by Kim Wood and second by Ray Creswell to move the October Annual Meeting to

            Monday October 14 due to Fall Break for DeSoto County schools falling on October 7.

 

            Action on the Annual Meeting mail out was tabled due to further discussion on the revisions

            for the Orange Book.

 

            Nominations for the 2025 Board of Directors were discussed.  Caleb Hodges, Jackie Hodges,

            Janice Burchett, and Ray Creswell remain active directors.  Carl Parker and Kiley Brougham

            are willing to return, as is Joel Bales if needed.

 

            Motion by Ray Creswell for pursue the golf cart ordinance passage.  Second by Kim Wood.

            Unanimous.

 

 

The motion was made and seconded to adjourn the meeting at 1035pm.
